Training Plans

Training plans let trainers build structured, multi-day workout programmes and send them directly to members. Plans can be created manually or generated in seconds with AI.

Creating a Training Plan

Training plans are created per member by staff with trainer access or above:

  • Go to Members and open a member's profile
  • In the Training Plans section, press New Plan
  • Add a Title, an optional Description and optional Notes for Member
  • Press Add Exercise for each exercise, then set its sets, reps, weight, rest and coaching notes
  • Press Save as Draft to review the plan before sending

Adding Exercises

A plan is a list of exercises (activities):

  • Search the exercise library by name. Results show the category alongside the name
  • If no match is found, type any name and choose Use as custom exercise
  • Per exercise you can specify sets, reps, duration (min), weight (kg or lbs), rest (sec) and coaching notes
  • Reorder exercises with the Move activity up and Move activity down arrow buttons, and remove one with Remove activity

AI Plan Generation

When AI generation is available, a Generate with AI panel appears on the new plan page. This lets you produce a complete draft plan from a short description:

  • Click Generate to expand the panel
  • Describe the programme in Describe the programme (e.g. 3-day push/pull/legs split focused on hypertrophy), or pick a quick start
  • Choose the Equipment available and Experience level
  • Click Generate Plan — the AI will fill in the title, description and exercises automatically
  • Review and adjust the populated form before saving

Health information: The AI is never sent the member's medical details or PAR-Q answers, only their age range and what you enter in this panel, plus your gym's exercise library. Check the member's screening first and describe any limits as movements to avoid (for example, no overhead pressing).

Review before sending: AI-generated plans are a starting point. Always review the exercises and loads against your knowledge of the member before sending.

Plan Statuses

A plan moves through the following statuses:

  • Draft — saved but not yet sent to the member. Can still be edited.
  • Sent — delivered to the member via email. The member can view it in their account.
  • Active — the member's current programme.
  • Archived — no longer in use.

Sending a Plan to a Member

Once you're happy with a draft plan:

  • Open the plan and press Send to Member, then Yes, send plan
  • The member receives an email notification and can view the full plan in their account
  • Draft plans are only sent when you press Send to Member. A sent plan can still be edited, but the member is not emailed about the change
  • If the member has no email address, the plan says to give it to them at the desk instead

Access & Permissions

  • Creating training plans requires Trainer access or above
  • Trainers can edit, send and delete only the plans they created; owners and managers can do this for any plan in the gym
  • Members can view their sent plans but cannot edit them
  • Plans are always scoped to your organisation — trainers from another gym cannot see your members' plans
